Company Overview

Trdina Notary Services LLC is a Pennsylvania‑based Notary Public and Loan Signing Agent providing mobile notary and document signing services for title companies, escrow companies, lenders, and signing services.

We understand that, in the course of loan signings and real estate transactions, we may temporarily receive or view Non‑Public Personal Information (NPI) and other confidential documentation. We are committed to safeguarding this information in accordance with industry‑accepted privacy and security practices.

Information Handling Scope

In performing signing services, Trdina Notary Services LLC may temporarily access or handle:

  • Borrower names, addresses, phone numbers, and email addresses
  • Government‑issued identification for identity verification
  • Loan, mortgage, escrow, and closing documents
  • Financial and legal documents
  • Healthcare‑related documents incidentally included in transactions

We access only the minimum information required to complete assigned signing services.

Use & Disclosure of Information

Client and borrower information is used solely for:

  • Verifying signer identity as required by Pennsylvania notary law
  • Completing lawful notarizations and document signings
  • Returning executed documents to the contracting party or authorized recipient
  • Maintaining required notary records

Trdina Notary Services LLC does not:

  • Sell, rent, or market personal information
  • Use borrower data for advertising or solicitation
  • Retain copies of loan documents unless contractually or legally required

Disclosure is limited to parties authorized by the contracting entity or required by law.

Information Security Safeguards

Trdina Notary Services LLC maintains reasonable administrative, technical, and physical safeguards designed to protect sensitive information from unauthorized access, disclosure, or misuse, including:

  • Client confidentiality obligations observed at all times
  • Compliance with state notary laws and contractual requirements

  • Encryption of data in transit and at rest for information temporarily stored on computers, mobile devices, or networks
  • Password‑protected computers and mobile devices
  • Secure email or platform use as directed by contracting entities

Physical Safeguards

  • Secure handling of physical documents during appointments
  • Documents kept out of public view and stored securely when in transit
  • Documents never left unattended in vehicles
  • Vehicles locked when documents are temporarily inside
  • Prompt return of documents following completion of services
  • Secure destruction of information when retention is no longer required

Mobile Signing & Transport Security

As a mobile service provider, Trdina Notary Services LLC acknowledges the importance of document security during travel and implements safeguards appropriate to mobile operations to minimize risk of loss, theft, or unauthorized access.

Data Retention & Disposal

Information is retained only for the duration necessary to:

  • Fulfill the assigned signing service
  • Meet Pennsylvania notary recordkeeping requirements
  • Satisfy contractual obligations

When retention is no longer required, records are securely destroyed using appropriate methods.

HIPAA‑Adjacent & Sensitive Data Handling

Trdina Notary Services LLC is not a HIPAA Covered Entity or Business Associate. However, when documents contain health‑related or similarly sensitive information, such data is handled with heightened confidentiality and is neither recorded nor disclosed beyond what is required for the notarial act.

Incident Response & Legal Compliance

In the event of a suspected or confirmed data incident involving personal information, Trdina Notary Services LLC will cooperate with applicable legal obligations, including compliance with the Pennsylvania Breach of Personal Information Notification Act, and will notify relevant parties as required.
